Ways in which we collect or obtain data
Services Center may process personal data about you because you:
- Contact us orally, by phone, email, text or app or social media channel with a question, a request to participate in an activity, or to provide information to us, and/or
- You give us a business card or other physical document containing personal data, and/or
- We carry out an assignment for you or your employer, and additional (personal) data may be required within the framework of the business (administrative and financial) as well as content-related handling of this assignment. For business processing we usually process data of a company and not a person: in some cases (sole proprietorship) this data can also be seen as personal data, and/or
- Because you provide this personal data to us yourself when completing a physical contact, application, participation or (visit) registration form.
- Because you provide this personal data to us yourself when completing a contact, login or registration form on the website, or your web browser provides it to us based on your use of our website, and thereby agree to it. You should be aware that we are not responsible for the privacy policies of other sites/apps, which can be accessed through a link on our website.
In doing so, Dienstencentrum does not collect special personal data on its own initiative, but only when necessary on the basis of laws or regulations or when you provide it voluntarily. Incidentally, special data could, for example, be derived from your e-mail address, or from your dietary requirements - we do not use these characteristics for analysis or decision-making. Special data include, for example, ethnic origin, political opinion, religion or philosophy of life, data about health or sexual orientation. In the case of photos of (recognizable) persons, we ask you (or your employer when possible) for demonstrable permission. We advise you to always be cautious about providing unnecessary special personal data.
It is possible that you may provide us with personal data about others (in most cases, this includes colleagues in the course of performing assignments, or sharing contacts and leads). The way you do this determines what role we have with respect to that data. Naturally, we also handle this data with care.
Dienstencentrum may collect or hold information that you have disclosed or shared with us, which we use as part of our legitimate interest to contact you to inform you about our products and services.
Our purposes of processing
We process the data we receive or collect for the purpose of:
- Administrative purposes;
- Communication regarding your inquiries, orders, services and/or invitations;
- Carrying out, or issuing, an assignment (generally speaking, services for directors and management). Examples include (employment) legal services, implementing management systems (including the employees involved and their roles) or supporting the development and sustainable employability of your employees, such as drawing up personality profiles and development opportunities for your employees.
- Maintaining a long lasting relationship with you and/or the company in which you are employed, to enable long-term coaching and personal and business development.
- Sending newsletters (if you choose to do so or have used our services);
- Implementing improvements in our organization's services, processes and digital applications, including determining commercial opportunities for our organization.
The type of data we process
When you ask us questions or share information with us, such as by phone or email, we will record at least your name (first and last name), gender, your chosen contact information (usually both phone number and email) and the substantive comment or information you choose to share further with us. We may also record your job title and the company where you work. We record the same information in our aforementioned physical forms. We record the same information, and additional information you share with us during interviews, when we approach you with an offer. If you apply for a job with us, we will of course also keep your CV and details of your availability and requirements around the position.
If you use social media such as LinkedIn or Twitter that we or one of our employees use, we may use these media to contact and maintain contact with you, we may also record these communications.
When we carry out an order for you or your employer, we record the additional data necessary for the processing of the order, such as contact details and data of the person or company we are doing business with for the purpose of financial processing (Chamber of Commerce number, bank account number, VAT number, payment arrangements, billing address, delivery address, type of company, credit check). As a result, data such as the history of executed orders and your payment history are created. We record similar data about our suppliers.
From the nature of our services, we may obtain personal data of various kinds in the course of performing assignments. For example, when we help your organization set up a management system in a project, we process the names of individuals involved in order, for example, to record their roles and tasks in the management system and to assign activities during the project. Such recording and processing of personal data is not the primary purpose of our activities. When we help you personally with a profile analysis, we are obviously talking about your personal characteristics. For this reason, we ourselves are the data controller, unless you (or your employer) have concluded a processing agreement with us.
When you visit or use our website or web applications, we use cookies that enable analytical and advertising activities. Please refer to our cookie statement.
How long SERVICES CENTER keeps data.
Dienstencentrum will not retain your data longer than necessary for the named purposes.
Dienstencentrum retains data around assignments for at least 7 years (in connection with tax authority obligations).
When we conduct activities under a grant, we follow the grant terms, such as 10 years for Sustainable Employability.
Where possible, we observe the guidelines for retention periods as stipulated in the Personal Data Protection Act exemption decree, unless they have been superseded by set new deadlines by the Personal Data Authority. For example, we do not retain data from job applicants for longer than four weeks unless you give permission, in which case we retain it for a maximum of 1 year.
If you ask us to delete personal data or stop processing we will do so. Because in many cases our services are based on long-term relationships or long-term personal development ('lifelong learning'), we retain data until you request us to delete it or it becomes apparent that the data is no longer relevant or incorrect.
